This Acceptable Use Policy ("AUP") governs how you may use the HaulPilot platform. It is incorporated by reference into our Terms of Service. Capitalized terms not defined here have the meanings given in the Terms of Service.
We built HaulPilot for legitimate carrier businesses. This policy exists to protect our platform, our customers, and the integrity of the freight industry. Keep it short: use HaulPilot for what it's for.
1. Permitted Use
You may use HaulPilot to:
- Manage dispatch and load matching for your licensed carrier business
- Coordinate drivers operating under your DOT/MC authority
- Track compliance requirements for your fleet
- Generate and send invoices to your customers
- Communicate shipment status to your customers
- Access and export your own Carrier Data
2. Prohibited Activities
You may not use HaulPilot to:
2.1 Fraudulent or Deceptive Conduct
- Enter false, fabricated, or misleading load, driver, or fleet data
- Misrepresent your operating authority, insurance coverage, or DOT/MC status
- Submit fraudulent invoices or documents
- Impersonate another carrier, company, or individual
- Create accounts for carriers or businesses that do not exist
2.2 Platform Misuse
- Use automated scripts, bots, or scrapers to access or extract data from HaulPilot beyond normal API use
- Attempt to reverse engineer, decompile, or extract the underlying software or AI models
- Use HaulPilot output to train competing AI models or dispatch systems
- Circumvent or disable any security feature, rate limit, or access control
- Introduce malware, viruses, or malicious code into the platform
- Perform load testing or stress testing against HaulPilot infrastructure without written consent
2.3 Unauthorized Access
- Access another carrier's account, data, or dispatch records without authorization
- Share your account credentials with individuals outside your organization
- Sell, sublicense, or resell access to HaulPilot as if it were your own product
- Attempt to access HaulPilot systems, databases, or APIs through means not provided or authorized by us
2.4 Illegal Activity
- Use HaulPilot to facilitate any activity that violates FMCSA regulations, DOT rules, or applicable federal, state, or local law
- Coordinate transport of prohibited, controlled, or unlicensed cargo without required permits
- Use HaulPilot in any way that facilitates human trafficking, drug trafficking, or other criminal enterprises
2.5 Harmful or Disruptive Use
- Use HaulPilot in a manner that degrades platform performance for other users
- Transmit spam, phishing messages, or unsolicited commercial communications through HaulPilot features
- Harass, threaten, or abuse HaulPilot staff, drivers, customers, or other platform users
3. Account Responsibilities
You are responsible for all activity that occurs under your account, including actions taken by your employees, contractors, or anyone else you give access to.
Specifically, you must:
- Keep your login credentials confidential and not share them outside your organization
- Ensure all users within your organization who access HaulPilot agree to these Terms and this AUP
- Promptly notify us at jennifer@haul-pilot.com if you become aware of any unauthorized use of your account
- Maintain accurate business information, including your carrier authority number, insurance details, and fleet size, and update us promptly if this information changes
- Comply with all applicable laws in your use of HaulPilot, including data protection laws applicable to driver and customer data you manage through the platform
4. Data Integrity
HaulPilot's AI relies on the accuracy of data you enter. Intentionally submitting false data — including fake loads, fictitious trucks, fabricated driver records, or forged compliance documents — undermines the platform for all users and may expose you to legal liability.
Entering false data to manipulate load matching scores, billing calculations, or compliance status is a material breach of these Terms and will result in immediate account termination.
5. Third-Party Integrations
If you connect HaulPilot to third-party services (load boards, ELD systems, factoring companies, accounting software), you are responsible for ensuring your use of those integrations complies with the terms of those third-party services. HaulPilot is not liable for actions taken through third-party connections.
6. Consequences of Violations
We take violations seriously. Depending on the nature and severity of the violation, we may take the following actions:
6.1 Warning
For minor or first-time violations, we may contact you to explain the issue and request corrective action. We are not obligated to issue warnings before taking stronger action.
6.2 Suspension
We may temporarily suspend your account and restrict access to platform features while we investigate a potential violation. During a suspension, you retain access to export your Carrier Data.
6.3 Termination
We may permanently terminate your account immediately and without prior notice for serious violations, including but not limited to: fraudulent activity, unauthorized access to other accounts, illegal use, or repeated violations after a warning.
Termination does not entitle you to a refund of any prepaid subscription fees.
6.4 Legal Action
We reserve the right to pursue civil or criminal legal remedies for violations that cause harm to HaulPilot, our users, or third parties. This includes reporting violations to law enforcement where appropriate.
7. Reporting Violations
If you believe another HaulPilot user is violating this AUP, or if you discover a security vulnerability in the platform, please report it to us at jennifer@haul-pilot.com. We take all reports seriously and will investigate promptly.
8. Modifications to This Policy
We may update this AUP from time to time. Material changes will be communicated by email at least 14 days before taking effect. Continued use of HaulPilot after the effective date constitutes acceptance of the updated AUP.
